This Privacy Policy describes how The AI-First Conference (“Conference,” “we,” “our,” or “us”) collects, uses, and safeguards personal information from individuals who register for or attend our events, whether in person or virtually. By participating in the Conference, you agree to the practices described below, which are intended to meet the requirements of applicable data protection laws, including the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA).

1. Information We Collect

We may collect the following categories of personal information:

  • Full name and preferred contact details (such as email address)

  • Information voluntarily provided during registration (e.g., job title, organization, areas of interest)

  • Video and audio recordings of conference sessions, which may capture your likeness, image, and voice if you appear on camera or speak during a session

  • Written or verbal comments, questions, or feedback you provide during the event

2. Recording and Participation

All sessions will be recorded in whole or in part, including those conducted via video conferencing platforms such as Zoom. By attending, you consent to the recording of your participation, which may include your name, image, voice, and any contributions made during live sessions. If you prefer not to be recorded, you may:

  • Keep your camera and microphone switched off during recorded sessions

  • Refrain from speaking or otherwise appearing in recorded segments

3. Recording and Intellectual Property

All Conference content, including presentations, discussions, slides, recordings, and other materials, is protected by applicable intellectual property laws and is the exclusive property of the Conference and/or its speakers, unless otherwise stated.

You may take notes and capture individual screenshots for your personal use or for limited sharing (for example, on social media), provided such sharing does not reproduce substantial portions of any presentation or recording.

You may not, without prior written consent from the Conference and the relevant speaker(s):

  • Record, stream, or otherwise capture full or partial audio or video of any session in a manner that reproduces the presentation in whole or in significant part

  • Reproduce, distribute, or make publicly available any Conference recordings, whether captured by you or obtained from an unauthorized source

  • Upload or share Conference content in any way that infringes upon our rights, the rights of our speakers, or any applicable law

Unauthorized recording, copying, or redistribution of Conference content is strictly prohibited. We reserve the right to take any action permitted by law, including removal from the event without refund, denial of access to future events, and legal action, against any individual or entity found to be engaging in such activity. Any violation of this section will be considered a breach of this Privacy Policy and the Event Terms, and may result in immediate removal from the event, denial of access to future events, and any other remedies available under applicable law.

4. Information Sharing with Partners

To deliver a high-quality event experience, we may share limited personal information (such as your name, email address, and registration details) with selected sponsors, exhibitors, or service providers. This sharing supports purposes such as event follow-up, networking opportunities, and providing information on products or services relevant to your professional interests. If you do not wish for your information to be shared in this manner, you may opt out by contacting [email protected] prior to the start of the event.

If you opt out after your information has already been shared, we will notify the relevant partners of your request and instruct them to delete your personal data, where required by applicable law. While we cannot control the independent privacy practices of our partners, we contractually require them to comply with applicable data protection laws and to honor valid deletion requests.

5. Use of Comments and Testimonials

We may use feedback, chat messages, or other comments you provide during the Conference for promotional purposes, including on our website and in marketing materials. Where such comments are attributable to you by name, we will only do so with your explicit consent, unless they were made in a public forum during the event.

6. Your Privacy Rights

Depending on your jurisdiction, you may have rights under applicable privacy laws, including to:

  • Access the personal information we hold about you

  • Request corrections to incomplete or inaccurate information

  • Request the deletion of your personal data, including any data we have shared with partners. In such cases, we will take reasonable steps to notify those partners and request that they delete your information, as required by law.

  • Restrict or object to certain processing of your information

  • Withdraw your consent at any time, without affecting the lawfulness of prior processing

We implement industry-standard technical and organizational measures to protect your personal data. While no system can be guaranteed to be completely secure, we are committed to safeguarding your information against unauthorized access, disclosure, or misuse.
